New setting for hourly rate enforcement in California

Production companies can now easily enforce hourly rates, rather than allowing guaranteed rates, for all non-union, non-exempt employees on projects in California. 

To enforce the use of hourly rates only, go to Company Settings > Project Preferences > Payables & Timecards, and select Yes for California Hourly Rate Enforcement Settings. 

Note: This setting will apply to all new projects created. Existing projects will not be impacted.

Onboard rehired workers faster with I-9 Section 3

Section 3 of Form I-9 allows companies to compliantly re-hire workers without needing to complete a new Form I-9. If a worker’s employment authorization documents expire (or if the worker legally changes their name), companies must complete Section 3 of Form I-9. 

  1. With the rehired worker added to the project, navigate to their Worker Profile. 
  2. Within the Form I-9 line item, click the re-verify button. This will open Section 3 of Form I-9.
  3. Review the information from the existing I-9 at the top of the page. If all information is correct, and no updates are necessary, select their upcoming date of rehire and sign. 
  4. If the worker has legally changed their name since their last hire, or if one or more of the worker’s supporting documents have expired, please update using the fields in Section 3: Reverification & Rehires. 

Once signed, ‌separate supporting documents specific to Section 3 will be available. You can access this information from the Worker Profile. Next to the Form I-9 line item, click View.

Learn more about non-union time calculations

There are several different methods for calculating non-union overtime rates. To help you determine the best calculation for your production, we've added a new tool that provides an overview of each calculation. 

When adding a non-union worker to a project, a Learn More prompt will now display under Time calculations. A sidebar will appear with a dropdown menu providing an overview of each calculation and the calculator rules. Once you've identified the appropriate calculation, select Apply to use the calculation for the selected worker.

Filter reports to see only the data you need most

The Fringe Report and Payroll Register can now be filtered and exported to display only the data you need most. These reports can now be filtered by: 

  • Payroll ID
  • Check Issued Date
  • Work State
  • Residential State 
  • Worker Type
  • Department

Any filters applied will also be applied when you download the report as a PDF or CSV.

FUTA supplemental rate increase starting April 1, 2023

Starting April 1st, our FUTA supplemental rate will increase from 0.3% to 0.6% in four states: California, Connecticut, Illinois, and New York. These states remain on the list of those subject to FUTA credit reduction under Title XII of the Social Security Act. (Note: Wrapbook will not charge you for this increase retroactively, all payroll processed prior to April will be billed at the 2022 rate of 0.3%.)

View total employer costs for a project with new Project Summary report

The new Project Summary report provides a summarized view of the total employer costs for a project, including: 

  • Wages
  • Employer Taxes
  • Workers Compensation
  • Miscellaneous expenses 
  • and Handling Fees 

This report can be easily downloaded as a PDF or CSV, with the option to show or hide rates (Applicable Wages and Effective Rate) as needed for various stakeholders.

Easily indicate when Meal Grace is called

Production teams can now easily indicate on timecards that grace was called, which helps prevent incorrectly applied meal penalties. To apply Grace to a timecard, select View then Edit for any submitted timecard. A checkbox for Grace will display, which should be checked for any day and meal where meal grace was called.

Wrapbook notifications have a new look

In early March, notifications from Wrapbook got a new look and feel. We have updated all of our notifications to better highlight urgent or time-sensitive actions, and better communicate with you about the status of your project. 

We've also updated all notifications sent to workers. For example, workers will receive the following notification when they've been paid. 

Please note: All Wrapbook notifications will be sent from an address ending in @mail.wrapbook.com. If you receive an email that seems suspicious, don't respond to it or click on any links. Instead, contact our Customer Support team.

Quickly assign Per Diems with new payable type

You can now quickly and easily assign Per Diems to workers with the new Per Diem payable type.  

From the Timecards & Expenses page, you'll now see Per Diem under Add an Item. To assign a per diem to a worker, click Per Diem, select the location and relevant worker(s), and complete the required details (Date, Amount, Cost Code, etc.). Wrapbook will automatically tax the Per Diem based on IRS thresholds, location, and seasonality. 

Note: The Per Diem payable type can only be used for Meals & Incidentals. Wrapbook will release additional per diem types (such as travel and lodging) in the coming months.

Manage project payables more effectively

It's now easier than ever to manage payables in Wrapbook. The new Timecards & Expenses page gives you a single view of ALL payables and allows you to: 

  • Toggle between All Payables or payables by a specific status (Needs Review or Approved) 
  • Easily track the number of timecards submitted v. the number of timecards expected in a given period
  • Filter all project payables by Type, Status, Union, Department, Line Number, and more!
