A few reminders to wrap up 2023

Here are three things you can do to make the rest of 2023 as smooth as possible: 

-> Plan for Holiday Bank Closures.

Banks will be closed on Monday, December 25th (Christmas Day) and Monday, January 1st (New Year's Day). If your planned payroll date falls on either of these dates, please be sure to process it on the preceding business day.

-> Request reversals for any Q4 payrolls

If you need to request a reversal for any payroll run in Q4 (for payroll dates between 10/1/23 - 12/31/23), you must do so before 5pm ET on Thursday, January 4th, 2024.

-> Double-check your worker classifications

Make sure your workers are classified correctly as employees, loan-outs, or contractors. The deadline to update classifications is 5pm ET on Thursday, January 4th, 2024. If you find a worker that is misclassified, please reach out to Wrapbook Support as soon as possible.

Manage time and expenses in a single view

Using the worker timecard view, you can quickly review and approve each worker's hours and expenses, all conveniently grouped by timecard week.

  • View weekly totals for both timecards and expenses
  • Bulk-approve a worker’s time and expenses for a given timecard week
  • Add expenses on behalf of the worker

Minimum wage compliance alerts

Production companies can now ensure employees and loan-outs are being paid at or above the minimum wage for their selected location. 

Minimum wage compliance alerts give you immediate visibility into minimum wage obligations, helping you avoid downstream compliance issues.

You can:

  • Identify timecards below minimum wage—if you have an unpaid timecard for an employee or loan-out below the minimum wage requirements, a warning will appear on the Timecards & Expenses page.

  • Apply the timecard filter and take action—click View timecards to apply the Timecard filter allowing you to quickly navigate to the timecard showing the minimum wage warning.

  • Learn more about state minimum wages—visit the US Department of Labor using the quick link in the alert.

Form I-9 has been updated to comply with the latest USCIS regulations

Wrapbook is now using the new I-9 form in support of updated USCIS regulations. 

The updated form must be used for all workers hired on or after November 1, 2023, and can be downloaded as a PDF when both the worker and company have signed an I-9.

Agents can now onboard clients and manage payments in Wrapbook

Do you work with talent (or crew) that have agents? 

You can now designate an agent or representative when hiring workers to your Wrapbook projects. 

To designate an agent for a worker in Wrapbook:

  1. Complete worker hiring as normal, by going to View Project > People > Invite Worker. 
  2. Under Agent Information, add the Agent email.
  3. Confirm that this agent is authorized to use Wrapbook on behalf of the worker. 
  4. Confirm that you have received the Check Authorization Form from this agent. 
  5. Enter the Agent fee (%). (Note: The agent fee is taxed as worker wages. This fee is a talent fee and should not be used for agent-production fees.)
  6. Select the relevant Startwork for this worker, then hit Save.

Once you add the agent’s information to the worker profile, the agent will: 

  1. Receive an invitation to create a Wrapbook account and onboard their client to your project
  2. Enter the Check Authorization information where worker payments will be routed 
  3. Receive and track payments on behalf of their clients in their Wrapbook profile

Manage payments outside of Wrapbook

You can now track off-platform payments—that is, payments made outside of Wrapbook. Include off-platform advances and SAG escrows when running payroll, and get immediate—and accurate— tax and fringe calculations.

You can:

  • Designate any project worker who is both a SAG-AFTRA member and a loan-out to be paid via Schedule F from an escrow account.

  • Create an Advance payable for non-union workers by enabling Advance as an expense type in Company Settings>Payables & Timecards.

Submit any Q3 reversal requests by Wednesday, October 4th

Q3 ends Friday, September 29th and the last day to request a reversal for a Q3 payment is Wednesday, October 4th. 

In addition, banks and Wrapbook will both be closed Monday, October 9th in observance of Indigenous Peoples' Day. Please adjust your payroll timelines accordingly.

The next time you access Account Details or Settings you will be prompted to enroll in MFA. 

Setup takes less than a minute and you can choose from multiple verification methods including SMS, FaceID, and TouchID.
